These Maker Submission Terms govern the submission of products, designs, publications, digital files and other materials for possible inclusion in the Archaeopolis shop.
“Archaeopolis” means ΑΡΧΑΙΟΠΟΛΙΣ ΑΜΚΕ, trading under the Archaeopolis name, with registered address at 3is Septemvriou 144, 112 51 Athens, Greece, and contact email info@archaeopolis.gr.
By submitting your work, you confirm that you have read and accepted these terms.
1. Purpose of submission
Archaeopolis operates a curated shop focused on historically informed objects, publications, digital resources and production materials. Submitting work allows Archaeopolis to evaluate it for possible inclusion in the shop. A submission does not guarantee acceptance, publication, promotion or sale.
2. Who may submit
Submissions are welcome from independent makers and craftspeople, designers and artists, researchers and educators, authors and publishers, 3D artists and digital creators, costume, prop and production specialists, studios, workshops and registered businesses.
You must be at least 18 years old and legally able to enter into a commercial agreement. If you submit on behalf of a company, studio, publisher or other organisation, you confirm that you are authorised to represent it.

- Armour, equipment and related material culture
- Costume, textiles and footwear
- Jewellery and decorative objects
- Books and publications
- Educational resources
- 3D models and print-ready files
- Digital assets
- Props and production materials
Archaeopolis may reject submissions that do not fit the shop’s subject, quality or presentation standards.
4. Historical descriptions and claims
You must describe your work accurately and identify, where relevant, the historical period, culture or tradition represented; the archaeological, literary, artistic or scholarly references used; whether the work is a reconstruction, interpretation, adaptation or contemporary design; any uncertain, hypothetical or modern elements; and the materials and production methods used.
You must not describe a product as historically accurate, authentic, certified, handmade or archaeologically verified unless you can reasonably support that statement. Archaeopolis may edit product descriptions for clarity and consistency, but you remain responsible for the accuracy of the information you provide.
5. Quality and suitability
Submissions are reviewed according to factors including historical relevance, craftsmanship and production quality, accuracy of presentation, documentation, originality, product safety, suitability for the Archaeopolis audience, availability and production capacity, and shipping and fulfilment feasibility.
Archaeopolis may request additional information, photographs, documentation or a physical sample before making a decision.
6. Ownership and intellectual property
You confirm that you created the submitted work or have the legal right to submit it; that you own or control the necessary intellectual-property rights; that the work does not unlawfully copy another creator’s work; that the photographs, text, illustrations, files and other materials you provide may legally be used for evaluation; and that any third-party contributors have given the necessary permission.
You retain ownership of your intellectual property. By submitting, you grant Archaeopolis a limited, non-exclusive and royalty-free licence to store, reproduce and internally share the submitted materials solely for evaluation and communication concerning your submission. Archaeopolis may not publish or commercially use your submitted materials unless your work is accepted and the relevant permissions are agreed.
7. Digital and 3D files
For digital products, you must specify the file formats included, software or version requirements, whether the files are printable, editable or intended only for rendering, permitted uses, restrictions on commercial use, redistribution or modification, and whether third-party components, scans or reference files are included.
You must not submit files containing malware, unauthorised personal data or material that infringes third-party rights.
8. Product safety and compliance
You are responsible for providing complete and accurate safety and compliance information. Where applicable, you must identify materials and substances used, intended use, age restrictions, warnings, care and handling instructions, manufacturer and production location, required conformity markings or technical documentation, known hazards or restrictions, and any previous safety complaint, withdrawal or recall.
Archaeopolis may refuse or remove any product that appears unsafe, unlawful, inadequately documented or unsuitable for sale.
9. Prohibited submissions
- Counterfeit, stolen or unlawfully reproduced goods
- Antiquities or objects presented as genuine antiquities
- Archaeological material of unclear or unlawful origin
- Products that infringe copyright, trademark, design or other rights
- Dangerous, prohibited or recalled products
- Weapons or controlled items that cannot legally be offered or shipped
- Misleading historical, material or authorship claims
- AI-generated, AI-assisted, mass-produced or outsourced work presented as handmade or original without clear disclosure
- Offensive, discriminatory or unlawfully exploitative material
- Digital files containing malicious software
- Personal data that you are not authorised to provide
Archaeopolis will cooperate with competent authorities where legally required.
10. Review and selection
Archaeopolis retains editorial and commercial discretion over selection and presentation, subject to applicable law. Archaeopolis may accept or reject a submission, request revisions or additional documentation, accept only part of a submitted range, place a submission on hold, decide when or whether an accepted product will be listed, and determine its category and editorial presentation. Archaeopolis is not required to provide detailed reasons for rejection.
11. No automatic commercial relationship
Submission or preliminary acceptance does not create an employment, agency, exclusive, partnership, joint-venture or consignment relationship; a purchase order; an obligation to list or sell the work; or an obligation to make payment.
No product will be offered for sale until Archaeopolis and the maker have agreed the applicable commercial terms in writing.
12. Commercial agreement after selection
If a submission is selected, Archaeopolis will provide or negotiate a separate written agreement covering matters such as the identity of the legal seller, pricing, commission or margin, taxes and invoicing, payments, stock, production capacity, lead times, packaging, shipping, customs, returns, refunds, consumer guarantees, digital licences, intellectual-property permissions, product safety, recalls, termination and removal of listings.
No commercial terms should be assumed before that agreement is completed.
13. Trader verification
Before an accepted maker is permitted to sell through Archaeopolis, Archaeopolis may request information needed to verify the maker or business, including legal and trading names, business address and contact details, tax or VAT information, company or professional registration details, identity or authority to represent the business, payment-account information, product-safety documentation and confirmation of compliance with applicable law.
14. Samples and submission costs
Submission is free. You are responsible for preparing your submission. Do not send physical products unless Archaeopolis has requested them. Any shipping, handling and return arrangements for a requested sample must be agreed in writing beforehand. Archaeopolis is not responsible for unsolicited items sent without prior agreement.
15. Confidentiality
Submissions are not treated as confidential unless Archaeopolis has expressly agreed otherwise in writing before submission. Do not submit trade secrets, unpublished research, confidential client information or commercially sensitive material that is not necessary for evaluation. Archaeopolis will nevertheless handle submissions with reasonable professional care.
16. Personal data
Archaeopolis will use the personal information provided to review the submission, contact the applicant, verify relevant information, discuss possible collaboration and maintain an appropriate record of the application. Submitting work does not automatically subscribe you to marketing communications. Further information appears in the Archaeopolis Privacy Policy.
17. Withdrawal of a submission
You may withdraw a submission before publication by contacting info@archaeopolis.gr. Withdrawal does not affect information Archaeopolis must retain for legal or administrative reasons, materials already used with your written agreement, or rights and obligations arising from a separate commercial agreement.
18. Removal and suspension
Archaeopolis may suspend or remove an accepted product if information supplied is inaccurate; the product infringes third-party rights; a safety or legal concern arises; the maker cannot fulfil confirmed orders; product quality materially changes; the maker breaches an applicable agreement; or continued listing could harm customers or the Archaeopolis brand.
Customer orders already accepted must be handled according to the applicable sales agreement and mandatory consumer law.
19. Liability for submissions
Archaeopolis is not responsible for the maker’s preparation or submission costs, lost commercial opportunities, a decision not to accept or list submitted work, independent similarities between a submission and existing or future Archaeopolis projects, or unsolicited physical items sent without agreement. Nothing in these terms excludes liability that cannot legally be excluded.
20. Changes to these terms
Archaeopolis may update these terms for future submissions. The version applicable to a submission is the version displayed when that submission is made. Material changes will not retrospectively replace a separately signed commercial agreement.
21. Governing law
These terms are governed by the laws of Greece, without limiting any rights that cannot lawfully be excluded. Any dispute will be submitted to the competent courts determined by applicable law.
